GENERAL SUMMARY: Under the general supervision of the Asst. Director of Physician Services, is responsible for the organization, development, and implementation of office systems, the supervision of secretarial staff, and the coordination of collaboration with the Nurse Coordinator for the Bariatric Program.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
1.Develops and maintains office systems. Is responsible for the maintenance of medical record and filing systems. Develops efficient work flow patterns. Monitors daily work flow. Maintains adequate inventory of supplies and requisitions equipment repair and maintenance services. Is responsible for the proper maintenance of office equipment.
2.Ensures that telephones are answered courteously and promptly and that calls are triaged appropriately. Sees that patients and visitors are greeted with courtesy and respect and is alert to the concerns of all who come to the Program.
3.Orients and trains new secretaries. Participates in interviewing and hiring clerical staff. Performs performance evaluations. Maintains records related to staff attendance. Schedules and assigns the tasks for secretaries. Develops and maintains effective working relationships.
4.Schedules appointments and enter patient charges into Athena Practice Management System.
5.Coodinates collaboration between the Nurse Coordinator and patients
6.Coordinate patient appointments required for the Program with providers.
7.Obtain any referrals or authorizations required.
8.Assist in the development of the patient education materials.
OTHER JOB KNOWLEDGE, EXPERIENCE AND REQUIREMENTS:
1. Level of knowledge equivalent to completion of an Associateï¿½s Degree in secretarial science and two years of secretarial experience with previous customer service experience required.
2. Computer skills.
3. Strong, positive interpersonal skills required
